The Elkins YMCA: Built for You
Below are the policies and procedures that everyone who uses the Elkins YMCA must adhere to. If you have questions, please contact our front desk team—we are here to help.
Elkins YMCA Policies
REQUIREMENTS OF MEMBERSHIP
When purchasing any membership, program, or product from the YMCA, you acknowledge:
- That you have read and fully comprehend all YMCA terms & conditions.
- You understand that YMCA fees, policies and terms & conditions are subject to change. The YMCA will provide written notice (mail and/or email) a minimum of 30 days prior to any changes in your fees or account.
CHECK-IN POLICY
All members must swipe their membership cards or check-in at the front desk to enter the facility at every visit. Members are provided with a swipe card as part of their membership. Additional or replacement cards cost $5.00.
Health & Safety Policy
- Please stay home if you’re feeling sick.
- Smoking, vaping, drugs, and alcohol are strictly prohibited. The YMCA is tobacco, drug and alcohol free. This also includes paraphernalia like e-cigarettes.
USING OUR FACILITIES
Fitness & Gym Areas
- Food and drink is not permitted in the gym.
- Any music played in this space must be appropriate for all ages and not include foul or explicit language.
- Wipe down equipment with disinfectant wipes before and after use.
- Return all equipment to its proper place.
- Wear proper clothing—shirts and athletic shoes are required. Clean shoes must be work in the gym.
- Reserve courts online or at the front desk.
- Bring your own equipment for basketball, volleyball, and racquetball.
- No dunking, rim-hanging, or rough play.
- Youth must be 14 years old to use the weight room.
- Youth must be 13 years old to use the racquetball room without adult supervision.
- Youth must be 13 years old to use the cardio equipment without adult supervision, or 10 years of age and up with parent supervision.
Swimming Pool
- Youth under 10 must have an adult in the pool area.
- Shower before entering the pool.
- Wear proper swim attire (no street clothes or shoes).
- No running, diving, or rough play in the pool.
- Flotation devices are available—ask a lifeguard.
- Lap swim requires a reservation (online or at the front desk).
- Pool rentals are available with 2 weeks’ notice and full payment.
Facility Conduct & Expectations
Code of Conduct
Help us keep the Y a respectful place for all. Violations of the following rules may result in suspension or loss of membership.
- Follow all posted rules and staff instructions.
- Be kind and respectful to others. Use clean language and appropriate behavior.
- The Y prohibits the photography, videotaping, filming or audio recording of other members and visitors without their consent and may result in the loss of membership privileges. Any recordings that are reported occurring in private areas like washrooms and locker rooms will be referred to the police. Read more about our Right to Privacy Policy.

CHILD SUPERVISION POLICY
Parents are responsible for the safety and supervision of their children at all times. Children 12 years and under may not be left unattended in the facility.
ROOM RESTRICTION POLICY
- Youth must be 14 years old to use the Weight Room without adult supervision. Children 10-13 years old must be accompanied by a parent or guardian.
- Youth must be 13 years old to use the Cardio Room or Racquetball Court without adult supervision. Children 10-12 years of age must be accompanied by a parent.
- Members must be 18 years old to use the Women’s and Men’s locker rooms, unless they are accompanied by a parent. Children ages 17 years and under may use the girls’ and boys’ locker rooms. No boys over 5 years of age are allowed in the Women’s Locker Room. No girls over 5 years of age are allowed in the Men’s Locker room. A family change room is also available for use.
- No one under 16 may use the sauna or steam room.
Mandated Reporter
As part of our dedication to child safety, we want to emphasize our role as mandated reporters for suspected child abuse. Mandated reporting is a legal requirement that obligates certain individuals and organizations, including the YMCA, to report suspected child abuse or neglect to the appropriate authorities.
What does this mean for you and your child? It means that if any staff member or volunteer at our YMCA has reasonable cause to believe that a child is being abused or neglected, they are obligated by law to report it to the proper authorities. This reporting is not only a legal obligation but also a moral and ethical responsibility that we take very seriously.
We want every child who walks through our doors to feel safe, supported, and empowered to reach their full potential. By being vigilant and proactive in our commitment to child safety, we strive to create a community where children can flourish free from harm.
Sexual Offender Policy
The mission of the YMCA is to put Christian principles into practice through programs that build healthy spirit, mind and body for all. Important to this effort is our ability to provide a safe and threat-free environment. For this reason, the YMCA monitors the sexual offender registry. Persons on the list will not be eligible for YMCA membership, program participation, visitors passes, or volunteer and employment opportunities with the YMCA.
MEMBERSHIP PRIVACY POLICY
Elkins-Randolph County YMCA employees are required to protect the confidentiality of member and program participant information. Staff is not allowed to share user names or passwords for emails or internal database systems. Staff is required to maintain client files per program standards. Changes or access to client information beyond the scope of program work is strictly prohibited. Confidential financial information will be stored separately from membership files, and staff will ensure the privacy of members seeking assistance.
Data associated with evidence-based programs follows strict HIPPA standards. Exclusive access to database information for these clients will be limited to program staff. Member and Program Participant information will be kept in secure storage units.

At the Elkins-Randolph County YMCA, we are dedicated to creating an environment where everyone feels safe, welcome, and valued. We do not discriminate based on ability, age, cultural background, ethnicity, faith, gender, gender identity, income, race, or sexual orientation.
The Y prohibits retaliation against any individual who reports a concern in good faith.
